Privacy Policy

1. Introduction

Hunter Creative Media & Design ("Hunter Creative Media," "HCM," "we," "us," or "our") operates the Beacon platform, a field operations and canvassing management service. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website, web application, and progressive web application (collectively, the "Service").

By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.

2. Information We Collect

2.1 Account Information

When you create an account, we collect your name, email address, phone number, organization name, and role within your organization. Organization administrators may also provide billing information.

2.2 Contact Data You Upload

Your organization may upload contact records (names, addresses, phone numbers, email addresses, voter registration data, and other fields) for canvassing purposes. This data is stored on behalf of your organization and is subject to your organization's data governance policies.

2.3 Interaction & Activity Data

When canvassers use the Service, we collect interaction records including door-knock dispositions, survey responses, notes, ratings, appointment details, and timestamps. These records are associated with your organization's campaigns.

2.4 Location Data

With your consent, we collect GPS location data from canvassers' devices during active canvassing sessions. This data is used for real-time team tracking, route optimization, and verifying canvassing activity. Location tracking can be disabled at any time in your device settings or within the app.

2.5 Device & Usage Data

We automatically collect device type, operating system, browser type, IP address, pages viewed, features used, and timestamps. This data helps us improve the Service and diagnose technical issues.

2.6 Third-Party Enrichment

If your organization opts into data enrichment features, contact records may be sent to third-party data providers to append phone numbers, email addresses, or demographic information. Enrichment is initiated only at your organization's request.

3. How We Use Your Information

We use collected information to:

  • Provide, operate, and maintain the Service
  • Process account registration and manage your organization
  • Enable canvassing operations including walk lists, route optimization, and GPS tracking
  • Generate analytics, reports, and leaderboard rankings
  • Send transactional communications (appointment reminders, sync confirmations, billing receipts)
  • Process data enrichment requests through third-party providers
  • Enforce do-not-contact rules and canvassing hour restrictions
  • Detect, prevent, and address technical issues or abuse
  • Comply with legal obligations

4. Data Sharing & Disclosure

4.1 Within Your Organization

Data uploaded by your organization is accessible to authorized members based on their assigned role (owner, admin, manager, or canvasser). Administrators control who can access what data.

4.2 Third-Party Service Providers

We share data with trusted third parties solely to operate the Service, including:

  • Cloud hosting: Render (application hosting), PostgreSQL (database)
  • Maps & geocoding: Mapbox (geocoding, map rendering)
  • Messaging: SMS service providers (reminders and notifications)
  • Data enrichment: Third-party data providers (phone/email append, only when requested)
  • Payments: Stripe (billing and subscription processing)
  • AI features: AI service providers (script coaching, note summarization)

4.3 CNX Suite Integration

If your organization connects Beacon with other CNX Suite products (Alma website chatbot, CampaignCNX+ SMS, CampaignOS+ CRM and contact intelligence), contact data may be shared between those services at your organization's direction. Door dispositions and contact records from Beacon write to CampaignOS+ via signed webhooks where the suite is wired together.

4.4 Legal Requirements

We may disclose information if required by law, subpoena, court order, or government request, or to protect the rights, property, or safety of Beacon, our users, or the public.

4.5 No Sale of Data

We do not sell your personal information or your organization's contact data to third parties.

5. Data Retention

We retain your account data for as long as your account is active. Contact data and interaction records are retained for the duration of your organization's subscription. Upon account deletion or subscription cancellation, your data is permanently deleted within 90 days, unless retention is required by law.

6. Data Security

We implement industry-standard security measures including:

  • Encryption in transit (TLS 1.2+) and at rest
  • JWT-based authentication with short-lived access tokens
  • Role-based access control with organization-scoped data isolation
  • Audit logging of administrative actions and data access
  • Cryptographically signed webhook payloads
  • Regular security reviews and dependency auditing

7. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your personal data
  • Object to or restrict processing of your data
  • Request data portability
  • Withdraw consent for location tracking or push notifications

8. TCPA & Do-Not-Contact Compliance

Beacon includes built-in compliance tools for the Telephone Consumer Protection Act (TCPA) and local do-not-contact regulations. Organizations are responsible for configuring and enforcing DNC rules within their accounts. We provide canvassing hour restrictions, DNC list management, and phone type verification (cell vs. landline) to support compliance efforts.

9. Children's Privacy

The Service is not directed at individuals under the age of 16. We do not knowingly collect personal information from children. If we learn we have collected data from a child under 16, we will delete it promptly.

10. Cookies & Tracking

We use essential cookies for authentication and session management. We do not use third-party advertising cookies. Analytics data is collected server-side.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through the Service. Continued use of the Service after changes constitutes acceptance of the updated policy.
